A trade reference reports information about a business’s trading relationship with a supplier or another business. These forms can help organize factual payment-history information. A reference is one input to a credit assessment and does not guarantee that a customer can repay future debt.

Choosing the right format
Select a request form when asking a referee for information, or a response layout when reporting your own trading experience. Check authorization and company policy before sharing customer account details.
Details to include
- Business and referee contact details
- Length and nature of the trading relationship
- Relevant payment terms, history and date of the reference
How to use the template
- Confirm the identity and authority of the requesting party.
- Report facts supported by your records and identify the period covered.
- Avoid unsupported statements about future payment or financial strength.
Worked example
A factual entry might say ‘trading since January; invoices usually settled within the agreed term during the period reviewed’. Do not turn this into a promise about future transactions.
